1. Who is responsible
Job Pulse AI ("JobPulse," "we," or "the service") operates from South Africa and provides job search, CV assistance, application tracking, recruiter listings, and related features. Job Pulse AI is the service's responsible party for personal information under South Africa's Protection of Personal Information Act (POPIA).

2. Information we process
- Account and profile: Firebase Authentication account identifiers and sign-in email, plus profile details you provide such as display name, account type, company name, website, and description. Sign-in is available with Google or email/password.
- Search and saved work: Search keywords and location, recent and saved searches, saved job details, application status, notes, next actions, interview dates, reminders, and in-app alert preferences. When signed in, these account records are stored in Cloud Firestore and associated with your Firebase account. Guest tracker data stays in your browser.
- Recruiter applications: When you apply to a JobPulse recruiter listing, we process your name, sign-in email, optional message, listing identifier, application status, and timestamps. JobPulse does not collect a CV upload in this application flow.
- Interview calls: If a candidate enables interview calls, JobPulse stores a temporary PeerJS connection ID and its last-active time in the candidate's Firestore profile. The ID is shared only with the recruiter who owns an active application for that candidate and expires from call lookup if the candidate stops refreshing availability. Camera and microphone access begins only after the user enables it; candidate media is sent to the recruiter only after the candidate accepts an incoming call. Live audio/video is transmitted peer-to-peer when possible, with PeerJS's public cloud service used for signaling. JobPulse does not record or store call media.
- CV and job details submitted for AI: CV text or an uploaded PDF and the job details needed for a requested analysis are sent over HTTPS to a JobPulse Cloudflare Pages Function and then to Google's Gemini API. JobPulse does not save raw CV files or CV text to Cloud Firestore or an account record. CV content is held in the active page while you use the feature; generated interview answers are saved in browser storage on that device, not synced to Firestore.
- Technical and usage data: Cloudflare hosts the site and its API functions. Cloudflare Turnstile protects the Contact Us form and may process technical information, including IP address and browser/device signals, to assess whether a submission is automated. The site also loads Google Analytics and advertising scripts. Those providers may process technical information such as IP address, device/browser information, page activity, and identifiers under their own policies. Search requests may be relayed to the external job-search providers configured for the service.
- Payment records: PayPal processes donations and paid recruiter listings. JobPulse receives limited order/listing information needed to confirm a payment and provide the listing; JobPulse does not receive or store your full card or PayPal login details.
- Contact messages: If you use the Contact Us form, we process your name, reply email, topic, and message. The message is delivered through Cloudflare's email service to the operator's private support mailbox and is not written to Firestore by JobPulse. The operator should retain enquiries only as long as needed to respond and manage follow-up, subject to applicable legal obligations.
Google, Firebase, Cloudflare, PayPal, PeerJS, analytics/advertising providers, and configured job-search providers process information under their own service terms and privacy notices. Some providers may process information outside South Africa. The responsible party should assess and document any cross-border transfers and safeguards required by POPIA. Review provider notices for details about their independent handling or retention.
JobPulse uses browser storage for guest tracker data, opened-job history, interview-practice answers, reminders, and install-prompt preferences. The current site also loads Google Analytics and third-party advertising scripts that may use cookies or similar identifiers. Before production, the operator must configure any consent, opt-out, or regional controls required for the audiences it serves; publishing this notice alone does not provide those controls.
3. How information is used
We use information to authenticate accounts, save and synchronize your profile and job activity, return job-search and AI results, deliver in-app alerts, administer recruiter listings and applications, process account requests, secure the service, and complete or reconcile PayPal transactions. We do not use a CV match estimate as a hiring decision or guarantee of suitability.
4. Application consent and recruiter access
Before an application is sent, you must actively check the consent box agreeing to share your name, sign-in email, and optional message with the owner of that specific listing. The authenticated Cloudflare Pages Function verifies your Firebase identity, candidate profile, consent, and listing before writing the application. Applications are not publicly readable; the candidate and the owner of the listing can access them through JobPulse. Authorized service operations may process records to provide, secure, or support the application feature.
Recruiters may use application details only to assess and manage that application. Recruiters must protect the information and must not publish, sell, or use it for unrelated marketing. External job-board listings have their own application processes and privacy terms.
5. When information is shared
We share information with service providers that host or operate features described above. We disclose the application details listed in section 4 to a recruiter only after your explicit consent. We may also disclose information where required to comply with law, protect users or the service, investigate abuse, or enforce the Terms of Service. We do not make private Firestore application records public.
6. Storage, retention, and expiration
- Signed-in profiles, saved jobs, saved searches, search history, and alerts remain associated with your account until you delete them or request account deletion, subject to copies required for security or legal obligations.
- Recruiter job listings are sold for a 30-day term. Expired listing records are configured for Firestore time-to-live (TTL) cleanup at expiration.
- Applications are configured for TTL cleanup 90 days after the related listing expires. In-app alerts are configured for cleanup 90 days after creation.
- Firestore TTL deletion is asynchronous. Expiration marks the cleanup eligibility time; deletion may occur later and is not guaranteed at the exact timestamp (it can take up to about 24 hours).
- When a user deletes an account, JobPulse requests deletion of the Firebase login and associated profiles, saved jobs, searches, alerts, applications, and private recruiter records. The current browser also removes account-keyed tracker, alert, interview-practice, and reminder data after the server confirms deletion. If account deletion reports an error, sign in again and retry or contact the operator.
- Already-paid active listings remain visible until the paid 30-day term ends, but applications are closed when the recruiter account is deleted. PayPal retains its own financial and transaction records under PayPal's policies and legal requirements.
Some browser-only information, such as opened-job history, is not tied to a signed-in account and may remain on that device until you clear the browser's site data.
7. Security
The service uses HTTPS, Firebase Authentication, Firestore rules, and authenticated server functions to limit access to account and application records. Server credentials are configured outside public browser files. No internet service can guarantee absolute security; use a unique password and do not submit information you do not want processed by the requested feature or shared with a recruiter after consent.
8. Your choices
You can review or update profile details, remove saved jobs, clear search history, withdraw a JobPulse application, or request account deletion using the relevant controls in JobPulse. You can clear browser site data to remove remaining browser-only information. Under POPIA, you may have rights to request access to or correction/deletion of personal information, object to certain processing, and complain to the Information Regulator of South Africa. Use the Contact Us form to reach the operator. Applicable rights depend on the circumstances.
9. Children
JobPulse is intended for people who are legally able to use the service and submit employment applications in their location. Do not create an account or submit personal information if you are not legally eligible to do so.
10. Changes to this notice
We may update this notice as the service or applicable requirements change. We will update the date above when a revised notice is published. If a change materially affects how information is handled, we will provide any notice required by applicable law.
11. Contact
Contact Job Pulse AI, the responsible party, through the private Contact Us form for privacy requests or questions. Your email address is used to reply and is not displayed publicly.
